Settings, memories, and privacy

Memories

Some products let the assistant remember preferences (“prefer bullet lists,” “use metric units”). Do not store case facts, suspect names, or CJI in memory features unless your agency explicitly allows it. When in doubt, keep facts in approved systems (RMS, Flash PD) and use chat for processing, not storage.

Settings

Review settings for defaults: model choice, web search, retention reminders, and notifications. If you do not understand an option, ask IT or admin before toggling it on sensitive work.

Feedback on answers

Thumbs up/down (or similar) helps improve quality. Use it honestly. It is not a performance review of you.

Audit and account activity

Many deployments let you see recent sign-ins or security events on your account. Report anything you do not recognize immediately.

Data handling

Your organization's privacy policy and acceptable use rules apply to Flash GPT the same as email. If you are unsure whether something belongs in chat, ask first.

Specialized features

Your tenant may turn features on or off: legal code lookup, research modes, tutor-style coaching, and others. Use only what you were trained on and what policy permits.
