Exports and handoff

Exports package parts of a case (evidence, chats, reports, notes, spreadsheets) into a downloadable bundle you can share with authorized people outside the day-to-day case team.

Before you export

  • Decide what must be included. Smaller packages are faster and easier to review.
  • Confirm who is allowed to receive the package and how (prosecutor portal, secure transfer, in-person media).
  • Set an expiration that matches records policy. Do not leave open-ended shares sitting forever.

Passphrases and links

Many workflows give you a link and a separate passphrase. Share them through different channels (for example link by secure email, passphrase by phone) so one stolen message does not expose everything.

After export

  • Tell recipients how to open the package and whom to call if it fails.
  • Track who downloaded what if your system shows access counts. Useful for discovery questions later.

If something changes

You may be able to extend expiry or rotate a passphrase without rebuilding the whole export. Ask your admin if that is enabled.

Policy reminder

Exports can contain CJI or privileged material. Only include what the recipient is cleared to have, and log handoffs per your SOP.
